Frequently Asked Questions

Database Design - What does IntelliSites do?

IntelliSites builds customized databases for clients in and around New York 's Capital District. Our clients are typically small to mid-sized organizations, in the for-profit AND not-for-profit sectors. We build new databases or can upgrade existing databases.

Database Development - Why use IntelliSites?

  • IntelliSites developers are specialists in Cold Fusion, Microsoft Access, mySQL, and .net technologies.
  • We offer very competitive database design rates.
  • We offer fixed price proposals.
  • Estimates are worked out according to your budget.
  • We have over six years of experience in building customized databases for clients.
  • We provide ongoing support for all our databases.
  • We provide excellent training and consultation - our main developers have taught thousands of people personally!
What makes you choose one program over another, when creating our database?

Each software application or language has its advantages. For example, if your database might only be used internally by your small staff of five people, and you might have no more than 10,000 records at the most, Microsoft Access might be your best solution. On the other hand, if your database will be used across a larger organization and runs 100,000 records annually, perhaps a SQL database might perform the best. Or if you will be tying the database into your web site, perhaps ColdFusion or ASP.NET programming is the way to go. We might even recommend a combination of some of these to make it more efficient and easy to use! Each situation is different, and we offer multiple options.

What are the stages of the database design process?
  1. All work begins with an initial meeting where we go through your requirements in detail: What information you want included in the database? What do you want the database to be able to do for you? And how you would like to see the database designed? Based on this meeting, we provide a proposal for your total investment in the database, and how long it will take to complete.
  2. Following approval for the proposal, we begin the work. While the work is progressing, we will coordinate with you over specific features, and give you regular updates. During this process, we will thoroughly test and debug the database.
  3. We'll install the beta version on your premises, so that you can review and test it. Any modifications or additions can happen onsite, or at our facility and then updated to your PC's. There is a specific time frame for this phase, in order to fully utilize the database efficiently.
  4. When the database has been fully tested and approved in writing, the final version is installed at your premises. IntelliSites may be contracted to provide ongoing support for the database.
Who manages the database work?

Mostly, we manage the database work, and coordinate with you. Generally, all the database work is carried out on our premises, until the system is in client-testing phase (#3 above).

If you want to manage the work yourselves, we may perform the work on the database at your premises. You are invoiced weekly, based on the number of hours the contractor has done for that week.

How is the quotation worked out and how are we invoiced?

IntelliSites gives a proposal for the database investment, based on how long the specifications will take (in hours), which is then multiplied by the hourly rate.

The agreement is based on a determined set of specifications. Any modifications asked for by the client are called "change orders", and are invoiced in addition to the work, at an hourly rate.

What types of databases does IntelliSites create?

IntelliSites creates all types of databases. We have specialist experience in the following database types:

  • Contact Management
  • Membership
  • Human Resources
  • Training / Scheduling Management
  • Inventory Control
  • Project Management and Hours
Can we see examples of previous databases you have created?

We would be happy to arrange a meeting with you to show you examples of previous databases we have completed. Usually, we will bring examples of previous work we have done with us when we are coming for the initial consultation.

Why have a custom-built database?
  • A database will save you time.
  • A database saves money through greater efficiency and time savings.
  • A custom database is designed to meet the exact needs of the clients. You don't have to work around the database, the database works around you !
  • A database automates administrative systems, and gives excellent reporting options for greater communication and information.
